This policy describes how the Winfield Bookkeeping Connector (the “Application”) handles data. The Application is published by Winfield Street Food Concepts LLC, 96 Broad Street, Stamford, CT 06901.
Who uses this Application
The Application is for internal use only. Access is limited to the owner of Winfield Street Food Concepts LLC and authorized accounting personnel engaged by Winfield. It is not distributed, licensed, sold, or made available to any other party, and it is not listed on any app marketplace.
What data the Application accesses
When a Winfield QuickBooks Online company is connected, the Application may access accounting records within that company, including: the chart of accounts; vendor and customer records; journal entries and other transactions; and financial reports such as the Profit and Loss, Balance Sheet, General Ledger, and Trial Balance.
The Application accesses only QuickBooks companies belonging to, or operated under agreement with, Winfield, and only after an authorized administrator of that company has explicitly granted access through Intuit’s standard authorization process.
What the Application does with that data
Data is used exclusively to prepare, review, and correct Winfield’s own books — including month-end close, account reconciliation review, and the posting of journal entries. Every journal entry is presented for human review and must be expressly approved by an authorized person before it is written to QuickBooks.
Data storage and retention
The Application runs locally on computers controlled by Winfield. It operates no public servers and no hosted database. Authorization credentials (OAuth access and refresh tokens) are stored locally on the Winfield-controlled computer running the Application, and are used only to maintain the connection to the authorized QuickBooks companies. Accounting data is retrieved as needed and is not accumulated in any separate repository maintained by the Application.
Disclosure to third parties
The Application does not sell, rent, share, or otherwise disclose accounting data to any third party. It contains no advertising, analytics, or tracking components. Data is exchanged only between the Winfield-controlled computer and Intuit’s QuickBooks Online API.
Winfield’s accounting records may, in the ordinary course of business, be shared with Winfield’s own accountants, bookkeepers, auditors, and tax advisors under professional engagement, and may be disclosed where required by law. This occurs as part of Winfield’s normal business operations and not as a function of the Application.
Security
Access to the Application is restricted to authorized Winfield personnel. Credentials are stored locally rather than in any shared or public location, connections to Intuit are made over encrypted channels, and access to a connected company can be revoked at any time by an administrator of that company through QuickBooks Online, or by contacting us using the details below.
Disconnecting
Access may be revoked at any time from within QuickBooks Online, or by following the instructions at winfieldcoffee.com/app/disconnect. Once revoked, the Application can no longer access that company’s data, and the stored credentials for that company are deleted.
